Introduction
Rakshana Finances, acquired by RR Associates, is a specialised accounting and wealth management firm that has built its reputation serving charity and social welfare organisations across India. With a focused client base of low-volume but high-value accounts, the firm has developed deep expertise in managing the unique financial requirements and regulatory compliance needs of the NGO and Social sectors.
RR Associates approached Rosnium to build a bespoke portfolio management system along with a client portal for communication, data management, and compliance tracking. They chose to work with us based on our operational understanding of delivering high-quality regulated wealth management software systems through our custom software and digital transformation services.

The Challenge
The new ownership aimed to expand into the general public market and recognised the need for a sophisticated portal system to separate their NGO and Social sector consortiums by providing a dedicated portal with their own relationship managers. Since they often serve high-value clients, the secure portal would allow clients to receive frequent updates about their portfolios, communicate easily, and receive notifications on the go without compromising the personalised support these clients value.
Their existing semi-automated workflow was prone to errors, administrative burden, and reporting inefficiencies. They required a streamlined portfolio management system that would automate most aspects of portfolio health tracking and notify advisors of any predefined anomalies.
The Strategy
Our development strategy prioritised comprehensive automation workflows that could archive overdue items systematically whilst sending automated email notifications for upcoming maturity dates, ensuring that both clients and staff received timely alerts about critical financial deadlines.
Our implementation strategy included extensive testing with existing client data to ensure seamless migration and validation of all calculations and processes.
Our Solution
1. Portfolio Management System
Managing high-value client portfolios across fragmented records and manual processes created significant reporting risk and administrative overhead. We developed a centralised portfolio management system that consolidated all client records, assets, maturity schedules, valuation histories, and transaction logs into a single governed platform.
Role-Based Access Controls
Sensitive financial data required strict access boundaries across the advisory team. The system enforced role-based access controls ensuring only authorised advisors could edit, review, or approve client records, with permissions applied consistently at both the data and interface layers.
Portfolio Health and Anomaly Tracking
The system tracked portfolio health, asset performance, and P&L positions in real time, with configurable alert thresholds that notified advisors automatically whenever a predefined anomaly or action item was detected. Advisors no longer needed to manually review each portfolio to identify issues requiring attention.
2. Client-Advisor Portal
High-value clients expected timely, personalised visibility into their portfolios without having to chase their relationship managers for updates. We designed a secure client-advisor portal that gave each client a personalised dashboard displaying portfolio health, recent transactions, pending actions, and advisor notes.
Encrypted Client Communication
Clients could request clarifications, access reports, and communicate directly with their relationship managers through an encrypted messaging channel built into the portal. All communications were contained within the platform, maintaining confidentiality and creating a complete, auditable record of every client interaction.
Mobile-First Access
Clients could log in from any device and receive real-time portfolio updates without requiring a desktop environment. The mobile-first design ensured that access to financial information and advisor communication was available wherever the client needed it.
3. Investment Tracking Engine
The firm managed client investments across multiple categories including fixed deposits, recurring deposits, bonds, and mutual funds, each with its own maturity schedule and renewal requirements. Tracking these manually introduced a material risk of missed deadlines and incorrect calculations across a growing client base.
Automated Maturity and Renewal Monitoring
The investment tracking engine monitored all client investments continuously, calculating maturity dates, highlighting upcoming renewals, and computing compounding interest and projected returns automatically. Advisors received real-time notifications for maturity deadlines, reinvestment opportunities, and P&L reconciliations, replacing the manual effort previously required to manage each investment type individually.
4. Reporting Automation
Generating accurate, timely reports across a high-value client base placed significant administrative burden on the advisory team, with manual processes creating a persistent risk of missed deadlines and compliance gaps. We implemented an automated reporting workflow that identified overdue actions, maturity events, and compliance requirements without requiring manual intervention.
Automated Report Delivery
Monthly performance reports were generated and delivered automatically through both email and the client portal, ensuring clients and advisors received consistent, accurate reporting on schedule. Notification delivery was tied directly to portfolio events, so critical deadlines and action items were surfaced proactively rather than discovered after the fact.
5. Data Migration and Platform Onboarding
Transitioning from Excel-based workflows to a governed platform required a careful migration process to preserve data integrity across all existing client records. We migrated all historical client and portfolio data from Excel into the platform, with each record validated against the existing calculations and reporting outputs to ensure continuity and accuracy.
Staff Training and Handover
Following migration, we provided structured staff training covering all platform workflows, ensuring the team could operate the system independently from day one. Ongoing technical oversight was established through a formal SLA engagement, giving the firm access to dedicated support throughout the expansion phase without dependence on internal technical resource.
Ongoing Support and Maintenance
The platform managed high-value client financial records, automated maturity and reporting workflows, and encrypted advisor-client communications for a firm actively expanding its client base. Scheduled Database Backups
